Automation saves both money and time

Automation is not a modern term or trend of today. Let's take Ford Motor Company, for example, which was the first in the world to replace human capital with assembly line production in the past. In those days, it was an absolute revolution. The company automated part of the production process, retrained or laid off redundant labor, and the results were not long in coming. Ford saved millions of dollars and time through automation, which he could then invest in further development.

Let's return to the present, however. Due to the pandemic, many companies had to lay off employees or switch to working from home. hybrid work. Modern cloud tools like Microsoft Teams and Microsoft 365 have certainly helped address this, but the question of how to optimize business processes with a minimal number of employees is and always will be on the table. Therefore, companies from various industries are looking for ways to work even more efficiently. The answer could be the bogy of the Slovak economy and the darling of progressive entrepreneurs: automation. Just imagine how much time, energy, and money it can save you.

Meet Microsoft Power Automate

You can automate almost any activity you perform in your company today. Thanks to Microsoft Power Automate's unique cloud solution, you can now do it without any programming knowledge. Simplify data upload and sorting, approval processes (e.g., for vacation or sick days), document submission, sending informational or notification emails, remarketing, newsletter systems, and analysis of completed online campaigns.

Microsoft Power Automate is a comprehensive and intelligent infrastructure that allows you to automate business and work processes. This cloud service simplifies workflows so that your employees can spend more time on important tasks. The service is available for computers, mobile devices, web, and within the Microsoft Teams platform.

Automation in Windows 11
What can Microsoft Power Automate do?
  •  Automates workflows between applications and services
  • Synchronize files
  • Manages notifications and automates emails
  • Collects, stores, and sorts data
  • Using the API, it can connect to over 100 different sources and interfaces.
  • It works with Microsoft applications, but also with all relevant services like Dropbox, Slack, Google, and many others.

Microsoft Power Automate can also handle sending automatic reminders for overdue tasks, moving business data between systems on schedule, and even automating data calculations in Excel on your computer.

How does Microsoft Power Automate work?

The program uses flow technology, which automatically connects events and subsequent activities. The source and executor of these activities are the services and applications you use. Based on the information obtained, the most useful workflows are stored as templates and made available to other users as automated processes. Any user can create, use, and share such automated workflows.

In the program, you define the initial conditions and their variants, executed actions, repetitions, timing, and other circumstances for realizing the desired task. You can also create macros. Then Microsoft Power Automate records your work so that it can be repeated automatically later. Although it may sound complicated, you will quickly get used to the program thanks to its pleasant and logically designed user interface.

How do cloud flows work and what are they used for?

Cloud flows enable the creation of automations that trigger automatically, instantly, or on a schedule. You are creating an action that is triggered by an event, such as receiving an email from a specific person or your company being mentioned on social media. Its goal is to connect multiple cloud or local services to your account so they can communicate with each other.

They represent an effective solution for repetitive tasks. For example, instantly sending a reminder to a lagging team, requesting leave approval, an action in Teams or SharePoint solutions, and many others. Scheduled flows can automate tasks according to a schedule, such as daily data uploads to SharePoint or your database.

How do desktop flows work and what are they used for?

Desktop flows automate tasks on the web or desktop using the Power Automate Desktop application. They allow for quick organization of documents, accurate extraction of data from websites, and storage in Excel or SharePoint. They will also help with desktop automation, which can become an autopilot for a new employee.

How do business process flows work and what are they used for?

By creating a flow for business processes, you can ensure that employees follow the same procedure every time they interact with a customer. In short, you can define a set of steps for users to follow, the adherence to which leads to the desired outcome. This way you save time spent on expensive training, get employees up to speed faster, and avoid mistakes and dissatisfied customers. Thanks to Flow, sales teams can also share their sales methods for better sales results.

Microsoft Copilot vs. ChatGPT, Claude, and Gemini: Why You Need a Different AI Tool for Corporate Data

Let’s be honest right from the start: your people are already using AI. Some have ChatGPT rewrite their emails, others fed yesterday’s meeting notes into Claude to extract action items, and a salesperson used Gemini to summarize a competitor’s offer. They’re doing this for a good reason—it saves them time. They often do this on personal accounts that you don’t even know about.  And that’s exactly the point. The question for companies today isn’t „should we use AI or not?“ That ship has long since sailed. The question is: Will the AI that the company controls—and that runs on your data—be secure, or will it cause an uncontrolled outflow of company information to third-party servers, which has long been underway? Let’s get straight to the point.  What does „using Microsoft 365 in a business“ actually mean? Microsoft 365 isn’t just Word, Excel, and Outlook, for which you pay licensing fees. It’s an entire ecosystem—SharePoint for documents and the intranet, Teams for communication, Power BI for reports, and above all, Microsoft 365 Copilot—that is, AI that isn’t just floating in the air but works directly on your data.  That’s a fundamental difference from what you might imagine when you think of „using AI.“ Copilot in M365 doesn’t just know the internet—it knows your entire company. It knows what’s in your SharePoint documents, what’s been discussed in Teams, and what’s in your calendar and emails. And it operates within the permissions you already have in place at your company.  Most of the companies we know don’t even use 20% of what they’re paying for in Microsoft 365. The licenses are active, Copilot is right at your fingertips, and yet employees are still copying data into third-party tools. That’s exactly the kind of nonsense worth eliminating.  Where does Microsoft 365 actually save time? Specifically, not just in marketing buzzwords. The most common scenarios we see with clients: […]

If cities stopped putting out fires: 3 solutions that save them hundreds of hours today

Imagine a Monday morning at the city hall. The department head opens their laptop, needing to check the status of an investment project. They start searching through emails. Then they call a colleague. The colleague sends an Excel file – but it's not the right one. A third attempt. Fifteen minutes gone. And the project is still not clear. This is not an exception. This is the daily reality for most Slovak municipalities. In our experience, the average [...]

AI agents in companies: when software works for you

Let's admit one thing. Almost everyone uses artificial intelligence today. Some people write texts with it, some create presentations, some have Excel tables generated for them. AI has become a universal assistant: you open it, ask a question, get an answer, and continue. But while most people use AI as a handy tool, something a level higher is starting to appear in companies. An AI agent. And surprisingly many [...]

How to set up a Digital Workflow?

At Opium.systems, we love innovation, and sometimes we even „cook“ it up. One of our most unique activities, which we recently implemented at the Slovak Savings Bank's business conference, BIKOSS 2025, is the cooking show „How to Cook a Digital Workflow.“ Why did we have a cooking show, anyway? During typical digitization training or workshops, the human experience is often lacking – processes, workflow mapping, and automation are [...]

AI Agent Security - How Not to Let Your Copilot Sniff Out Your Secrets

AI agents are like Swiss Army knives in the digital world. They can read, write, connect data, send notifications, automate workflows... if you set them up correctly, they won't even forget your boss's birthday. But in the wrong hands, or without oversight? They could accidentally reveal sensitive information, modify the wrong record, or trigger a process that wasn't supposed to be released yet. Their deployment can be either a win, [...]
