Management of laboratory sample measurements between labs in 3 countries

A Danish laboratory worked with a large number of laboratory samples and measurements that needed to be recorded, evaluated, archived, and sent between three laboratories. The original data on samples, protocols, and measurement results were located in an outdated system and on local storage. 

This way of working: 

  • reduced the overview of the status of individual samples, 
  • impeded the visibility of measurements, 
  • increased the risk of errors in manual data transcription, 
  • slowed down reporting and evaluating results. 

The goal was to create modern central system, which will ensure unified management of laboratory measurements from sample acceptance, through its dispatch between laboratories in 3 countries, to recording and archiving of results. The entire solution corresponded to the strict implementation of internal processes and complex calculations for comparing and merging samples. 

Solution 

We designed and implemented a laboratory sample and measurement management system that provides: 

  • evidence of samples including their metadata and processing status, 
  • clear recording of measured values and logs, 
  • automatic generation and printing of barcode labels for better record-keeping, 
  • recording results by reading barcodes and uploading measurement XML to the system, 
  • Tracking of shipments and delivery of sample consignments 
  • automated workflow for approval and results verification, 
  • linking measurements with relevant documentation, 
  • centralized and secure storage of all data. 

The solution covers the sample condition and eliminates the need for manual coordination between laboratory workers. 

Technology 

The system is built on SharePoint platform in the Microsoft 365 environment, enhanced with automated processes and proprietary application logic. Key technological advantages: 

  • unified data and document storage, 
  • auditability of changes and versioning of results, 
  • Role-based and competency-based access control, 
  • generate barcode labeling containing sample metadata, 
  • easy to use with no special training required. 

The technology was chosen to support the accuracy, reliability, and long-term sustainability of the solution. 

Result 

By implementing the system, the organization achieved: 

  • significant acceleration of laboratory measurement processing, 
  • Improve data quality and consistency., 
  • full traceability of samples and results, 
  • removal of errors in sample matching and measurements, 
  • elimination of manual data entry, 
  • more effective reporting and results evaluation. 

The solution shows that even a complex laboratory process can be digitized in such a way that increased measurement accuracy while saving the expert staff's time
